4. After flagging their chart, Matt will email the patient and copy their respective clinic
location to inform them about their fee and how/when it must be paid:
“After reviewing your chart, your account has been flagged as you are in violation
of our cancellation / no-show policy (please see attached) and that a $35
payment needs to be collected upon your next visit and before we can make any
future appointments.
We understand issues and emergencies arise and we want to be as flexible as
possible with our patients. We appreciate your understanding of our policy as we
want to provide the best services to you and all of our patients.”
5. If a patient returns for an appointment but has not yet paid their fee, then the Clinic
Coordinator should remind the patient that they have violated our cancellation/no show
policy and they need to make a payment..
6. Once payment of a fee has been collected, the Clinic Coordinator will complete the
following steps:
a. Record payment in WebPT as Internal Payment with description as Cancel/No
Show Fee.
b. Edit the patient’s chart to reflect In Collections: No, which will remove the red
*Collections* flag.
c. Update the Cancel/No Show Log in Drive with the Date Paid.
