b. “Termination Date From” should be when you last provided the report
c. “Termination Date To” should be the current date.
3. Run a Vlookup to determine if any of the Fun Kit Eligible Hires have left the company.
4. Highlight the terminated employees in red and return the file to DME so they can ship the
kits.
Hire wants to change Shipping Address for a Welcome Gift
Changing the shipping address to make a delivery easier is fine to do, but does usually mean that
something should be updated as the shipping address is pre-populated in the Welcome Gift Storefront
from the “Work Address” in Workday.
1. After receiving an email requesting a shipping address change go to Workday and check
the work address for the hire.
2. If the hire is requesting the Welcome Gifts be shipped to their home, verify if they are listed
as a virtual employee in Workday.
a. If the Work Address in Workday is incorrect a change must be requested.
b. Request this change by emailing the hire’s manager and letting them know that they
are responsible for making the change in Workday.
i. After a manager submits a Work Address change request, it must be
approved by HR Central and can take 48 hour before it updates within
Workday.
3. If the hire is requesting the Welcome Gifts be shipped to a different office address than
what is listed in Workday we must ensure this office address is correct.
a. Request this change by emailing the hire’s manager and letting them know that they
are responsible for making the change in Workday.
4. If the office address is out of date (for example, you suspect the office has closed or
moved) reach out to the Real Estate team or Gallon, Tammy Tammy.Gallon@ncr.com to
have it updated.
a. Work Addresses come from a selection of office’s available to manager’s when
opening a new requisition. If an old office address has not been removed, a
manager may choose it by accident, resulting in the address being used in Workday
and therefore fed to DME to be used for Welcome Gift shipping.

The Guideposts Communications
When adding someone to an NCRU session, they will receive a communication. However; we still
need to send our own communications.
Initial New Hire Invitation and Manager Notification
1. Head to the SharePoint APTRA Email Request Site
2. Complete form with the following information
a. Title: First Steps: The Guideposts Invitation
b. Requestor: your name
c. Content Status: Final – Ready to Build
d. Date Requested: today’s date
e. Priority: Category 2 – Standard
f. Industry Function: HR
g. Business Owner: Your name
h. Objective: This will serve as the invitation to new hires and their managers for the
Guideposts session in location and month.
i. Test Recipients: Your name
j. Campaign Builder: Leave blank
k. Requested SEND Date and Time: Must be 48 hours after current time
l. TEST needed by: List tomorrow’s date
