        Administration Training Guide

Opening the Office:
    1) Open office- 7:45 AM
    2) Tidy rooms/ turn on ACs/ put out water
    3) Make sure each student has assignment to start with
    4) Look over schedule to see who is coming in
    5) Greet students as they come in
    6) Check kitchen
    7) Candy jars full ☺
    8) Answer phone- “Ulpan Or Shalom…”

RESPONSIBILITIES:
    1) Fully managing office
    2) Creating Schedule (this is constant)
    3) Providing information about our courses ; responding to office email.
    4) Making sure office is fully stocked with what it needs (food, supplies, etc)
    5) Managing office budget and cash box
    6) Communication with students and groups (sending schedules, rescheduling, feedback, any
         and all issues that could come up)
    7) Registering students for Ministry Examination
    8) Sending vouchers students all necessary forms (4 in total) at correct times (beginning,
         middle, and conclusion of course)
    9) Scheduling trainings and activities for students (locations)
    10) Handling employee schedule/issues/complaints
    11) Setting up and preparing for any office event, meeting, or party including orientation every
         Sunday and graduation every Thursday
    12) Following up with all students and groups after scheduling (sending reminders, etc)
    13) Charging students, supplying refunds when necessary, bank transfers
    14) Reminding teachers about new students, opening docs, and anything related to building
         relationship with student
    15) Meetings with every student at the end of their course about how they will continue
         learning Hebrew
    16) Making sure everything works in the office (computers, phone, furniture, all equipment)
