TRANSIENT/PLANNED COURSES
This is a summary of the CURRENT process for students who want to take transient coursework (a.k.a. “Planned”
transfer courses). This is for internal use only.
1) FILL OUT “TRANSFER COURSE PLANNING FORM” (a.k.a. TCP form)
WHO: Advisor and Student fill this out.
Instructions:
Fill out as much as possible, especially items in bold, but keep in mind that there should be a different form for
every institution+term (TriC + F2019, Stark + Sp2020, etc.). The transfer guide should be used to determine
equivalency. If not on the guide, people can request a course review prior to registering through
creditreview@kent.edu to get added to the guide. Write “under review” or “SUBJ Elective Credits” in the
equivalent block of the TCP if needed in order to get the form ‘done’.
Please use the advising notes section for any clarification at all. Better safe than sorry!
If it’s needed you can attach an email from the student saying they agree to everything stated on the form in lieu
of signature for commuters. Just make sure they have read EVERYTHING on the form.
2) EMAIL TCP FORM TO TRANSIENT@KENT.EDU WITH STUDENT ID IN SUBJECT LINE
WHO: Advisor, then Credit Transfer Office (CTO)
Instructions:
Advisor emails scanned form to transient@kent.edu.
CTO attaches it to the student’s record with a routing status of the campus associated with the form. The
routing status is used for admissions offices to see transient students on a report, for matching transcripts.
3) APPEND TRANSCRIPT AND COURSES WHEN RECEIVED
WHO: Student, then Admissions, and then CTO
Instructions:
Students order a transcript from that institution once they have grades posted for that course. It should be sent
to the correct admissions campus.
Admissions then appends the transcript to the TCP form and updates the routing status as “READY FOR EVAL”.
This is how transient work shows up on OUR cognos report for processing.
CTO enters/updates transient courses, then student receives confirmation email.
