Funding and Related Costs

The employee must bear the initial cost of the registration, books, tuition, and other fees necessary

for enrollment. There is no reimbursement for books not required for the course, equipment, parking,
mileage, meals, etc. After successful completion of the course and receipt of final grade,
reimbursement paperwork shall be completed and submitted by the employee to their supervisor for
payment authorization. If approved, the supervisor shall send the request to Accounts Payable for
payment processing with a copy to Human Resources for the employee’s personnel folder.
Attendance for all undergraduate and graduate coursework will be scheduled during non-work hours.

All reimbursements are subject to the availability of funds. As a general principle, funding

consideration shall be granted first to employees who have been previously approved to participate
in educational, training or certification programs or are working to complete their program or course
of study. Thereafter, reimbursement shall be granted on a first come, first served basis, with those
not receiving funding being placed on a waiting list.

In the case of separation (resignation or discharge) before completion of the course or before the
amount of the reimbursement is recovered, the total tuition for the course plus related textbook
amounts will be returned to the Credit Union by the employee and may, subject to federal law, be

deducted from the employee’s last paycheck(s) or any other amount due to the employee from the
Credit Union. If employee’s final compensation from the Credit Union is not sufficient to cover these
costs, the employee will be responsible for full reimbursement to the Credit Union prior to their last
day of employment with the Credit Union.

When requesting educational assistance, the employee must also agree to and submit a signed copy
of the Educational Authorization and Reimbursement Agreement which states:

              a. The employee understands that all reimbursements are subject to the availability of funds.
Funding consideration shall be granted first to employees who have been previously approved to
participate in educational, training or certification programs, or working to complete their
program or course of study. Thereafter, reimbursement shall be granted on a first come, first
                  served basis.

              b. They acknowledge that they have reviewed and agreed to the terms of Police FCU’s Educational
                  Assistance Policy.

              c. They have reviewed with their immediate supervisor this request for tuition assistance to ensure
courses are job related and/or relevant to departmental and or Credit Union initiatives and
understand that Educational Authorization and Reimbursement Plans is subject to approval.
