Policies and Procedures
All staff will comply with CCS Policy. HIPAA and confidentiality will be reviewed with the individual and or guardian
annually.
Training: All new contractors are trained on HIPAA and confidentiality as regulated by each state within the first 30
days of hire. All contractors will receive a refresher’s training on HIPAA and confidentiality annually.
19. Information Technology (IT)
CCS staff will treat personal information securely and confidentially. We limit access to personal information to
only those persons who need to know that information to provide support services to our customers. These
persons are trained on the importance of safeguarding this information and must comply with our procedures
and applicable laws. We employ strict physical, electronic and procedural security standards to protect personal
information and maintain internal procedures to promote the integrity and accuracy of that information.
19.1 Electronic Communication and Internet Use
Some contractors are provided with and/or have access to computers for CCS business-related purposes. Each
contractor is responsible for reading this Electronic Communication and Internet Use Policy and understanding
the policy. CCS reserves the right to take disciplinary action up to and including termination against any individual
who fails to comply with this Electronic Communication and Internet Use Policy.
The following actions are forbidden: using disparaging, abusive, profane or offensive language; creating, viewing
or displaying materials that might adversely or negatively reflect upon CCS or be contrary to CCS’ best interests;
and engaging in any illegal activities, including piracy, cracking, extorting, blackmail, copyright infringement, and
unauthorized access of any computers and company-provided equipment such as cell phones and laptops.
Contractors must not use the system in a way that disrupts its use by others.
Contractors should not open suspicious e-mails, pop-ups, or downloads.
Contractors should contact IT Support with any questions or concerns to reduce the release of viruses
or to contain viruses immediately. IT can be reached at crewconsultingservies@gmail.com
Internal and external e-mails are considered business records and may be subject to discovery in the
event of litigation. Be aware of this possibility when sending emails within and outside the company.
HIPAA compliance requires that at no time should contractors use personal email addresses to transmit
emails related to work or containing work-related content.
Contractors may not tamper with computer systems, networks, equipment, software, files, documentation,
accounts, or information associated therewith. This Electronic Communication and Internet Use Policy applies
to the direct and indirect use of local and remote computer resources.
19.2 Social Media – Acceptable Use
Below are guidelines for social media use.
Contractors may not post financial, confidential, sensitive, or proprietary information about CCS,
clients, contractors or applicants. Including any HIPAA information related to clients even if not
explicitly identified.
Contractors may not post obscenities, slurs or personal attacks that can damage the reputation of the
company, clients, contractors, or applicants.
When posting on social media sites, contractors must use the following disclaimer when discussing job-
related matters. “The opinions expressed on this site are my own and do not necessarily represent the
