POSITION DESCRIPTIONS
Chairman
AUCKLAND YOUTH ORCHESTRA
Reports to Executive Committee
Date May 2020
Position Summary
The Chairman is responsible for monitoring the business the AYO Executive Committee and
acting as a spokesperson for the organisation.
Duties and Responsibilities
1. Governance
Chair meetings of the Executive Committee.
o The Chairman or Secretary may call a meeting of the Executive Committee at
any time.
o The Chairman must call a meeting upon the request of any four members of
the Executive Committee.
o Reasonable notice for any meeting must be given to all members of the
Executive Committee.
Attend meetings of the Finance and Artistic Sub-Committees.
Chair the Jury of the AYO Soloist Competition.
Maintain ongoing communication with the AYO Patron, President and Vice-
President(s).
Oversee and monitor the execution of duties and responsibilities of the Music
Director, Secretary, Treasurer and other Committee members.
Undertake the annual Performance Review of the Music Director. This should
include discussions with senior players, Committee members and, at his or her
discretion, independent consultants.
2. Public Relations
Make speeches and announce awards at concerts, where required.
Author the Chairman’s Newsletter for each programme.
Act as a spokesperson for all media enquiries.
Develop and maintain positive relationships with key supporters of the orchestra.
Write ‘thank you’ letters for significant donations.
3. Development
Work to establish positive contacts with other arts organisations, local media outlets
and music retailers. Expand the public awareness of AYO and maintain a positive
image of the orchestra.
Monitor websites of other arts organisations and bring to the attention of the
Committee potential problems or opportunities.
Keep eye out for opportunities – rehearsal and performance venues, soloists,
design, promotion.
Other tasks being undertaken by the current Chairman which are in addition to the Chairman’s role:
writes all the programme notes for works performed for inclusion in the printed concert
programmes.
