POSITION DESCRIPTION
AUCKLAND YOUTH ORCHESTRA
Reports to Executive Committee

Position Summary
The Manager is responsible for ensuring that the scheduling and production of all orchestra
events (concerts, rehearsals, tours, run-outs) run smoothly, effectively, and in a financially
responsible manner.
Duties and Responsibilities
1. Scheduling
Prepare the orchestra's annual schedule with the Music Director to
achieve artistic goals while maximising services for financial benefit.
Determine feasible schedules for special events such as tours and run-
out concerts.
o Maintain shared AYO Google Calendar
o Maintain shared Concert Checklist document on Google Drive
Plan, promote and hold annual auditions. Advise outcomes.
Book APO tutors in consultation with Music Director and keep track of
hours.
Ensure all relevant information is accessible to Marketing Manager and
Communications Manager.
2. Production
Manage facility bookings (including ticketing, staging requirements),
instrument/equipment rental and other logistical arrangements for
rehearsals, concerts and tours:
o Rehearsal venue, Storage, Truck hire, Coach Hire (through the
Secretary), Accommodation and Concert Venues.
o Plan truck drivers and loading teams for the year
o Manage procurement of supplies, licenses, equipment, and
services for operational purposes.
o Supervise orchestra setup for rehearsals and concerts and
coordinate with Music Director regarding special setup
requirements.
Escort orchestra on tours; ensure that all plans are properly executed.
Arrange recording of Town Hall concerts with the Official AYO Sound
Recorder. Notify Auckland Live of arrangements.
Ensure best possible physical working conditions for the orchestra in all
situations.
Arrange for conductor and guest artist hospitality, if required.
Promote annual Soloist Competition to players and support Competition
Manager as required.
3. Player Administration
Ensure players are available for all scored instrument parts for the
current works being performed.
