Treasurer
POSITION DESCRIPTION
AUCKLAND YOUTH ORCHESTRA
Reports to Executive Committee
Date May 2020
Position Summary
The Treasurer is responsible for the management of the funds of the Society in accordance with
the AYO Rules and directions of the Executive Committee. The Rules that particularly concern
the position of Treasurer include and provide:
the power to purchase, sell or lease real or personal property; to open and operate cheque
or savings accounts with any New Zealand registered bank; to borrow money with or
without security; and
that all funds received by or on behalf of the Society must be paid into the Society’s bank
account(s); and
that all cheques or other payments from the Society’s bank account(s) must be signed or
authenticated in the manner authorised by a resolution of the Committee.
Duties and Responsibilities
1. Governance
Call and chair the Finance Sub-Committee meetings to manage AYO investments.
2. Finance
Collate and prepare annual budgets.
Manage day-to-day finances: pay invoices promptly, negotiate term deposit rates,
maintain cash projection etc.
Issue invoices for music hire, instrument hire, sponsorship, grants and donations as
required.
Receive and bank concert cash donations and ticket sales.
Issue receipts for donations upon request.
To pay all accounts due promptly
Prepare, or assist the Funding Officer to prepare, funding applications for new
equipment and operating expenses from charitable trusts, public funds,
philanthropists, etc.
Complete Accountability Reports and write ‘thank you’ letters for grants.
Review insurances regularly – instruments, public liability etc.
Participate in Funding Sub-Committee if one is convened.
3. Concerts
Review and approve concert venue booking contracts
Create online ticketing links on Eventfinda
Attend any free concerts to receive donations
Book and arrange collection/return of mobile EFTPOS machine for concerts
4. Subscriptions and Levies
Receive and follow up overdue players’ subscriptions and tour levies.
Issue subscription notices to members.
