Assistant Manager
                                                 POSITION DESCRIPTION
                                            AUCKLAND YOUTH ORCHESTRA

               Reports to           Manager
               Date                 May 2020


              Position Summary
              The Assistant Manager supports the Orchestra Manager and reports directly to that position.
              The Assistant Manager will represent the Executive Committee in liaising with players.

             Duties and Responsibilities

             1.     Rehearsals
                   Attend all rehearsals and performances and resolve issues as they arise.

             2.     Weekend Tours
                   Prepare rooming lists, roll checks on buses
                   Respond to issues as they arise, resolving where possible or ensuring they are picked up
                    by the Orchestra Manager.

             3.     AYO Google Calendar
                   Maintain this to reflect latest arrangements.

             4.     Weekly Communications With Players
                   Attend to all emails sent to the ayoinformation@gmail.com and info@ayo.org.nz. Answer
                    emails directly or forward to someone else who can.
                   Maintain an accurate player email list as a contact group. A new group should be created
                    for each programme.
                   Post updates on the AYO Players Facebook Page about rehearsal schedules for
                    upcoming rehearsals, details re upcoming orchestra events, notices from Committee
                    members and any other important information.
                   Send the same info posted on the AYO Players page out by email (AYO Weekly) during
                    programmes to players and Executive Committee members (some parents also request
                    to be placed on the mailing list).
                             - Requests from players can be included as long as it does not conflict with AYO
                 policies
                               or events.
                             - Keep in mind that AYO Weekly needs to be succinct and we do not want to clutter
                                players’ emails with multiple messages each week.
                             - The signature line must include the sender’s name:
                                                                 i.e.  AYO Information:   Sent by: [first and last names]

             5.     Social Media
                   Manage and maintain AYO presence on social media channels – concert promotion,
                    celebrating player achievements/awards etc.
                   Run Facebook marketing campaigns for events or important posts, in consultation with
                    the Manager.
                   List AYO concerts on Eventfinda and other online event websites.

             6.     Annual Schedule
                   Assist the Manager and Music Director in planning the following year’s concert
                    venues/tours and appropriate concert and rehearsal dates.

             7.      Assist Orchestra Manager as requested
                   Soloist competition, auditions, suppers, social events etc.
