5. Development
Work to establish positive contacts with other arts organisations and their financial
administrators. Expand the public awareness of AYO and maintain a positive image
of the orchestra.
Monitor websites of other arts organisations and bring to the attention of the
Committee potential problems or opportunities.
Keep eye out for opportunities – rehearsal and performance venues, soloists,
design, promotion.
6. Reporting and Filing
Present monthly accounts and report to the Executive Committee.
Present minutes of Finance Sub-Committee to the Executive Committee.
Complete IRD filing requirements re scheduler tax deductions.
Arrange independent Accountant’s Review of “Tier 3” Performance Report*.
Present a Treasurer’s Report and the Performance Report to the AGM.
Maintain filing requirements for the Charities and Incorp.Societies Registers
Send Auckland Library a copy of the Annual Accounts each December.

Sundry Admin Tasks
Complete 6-monthly APRA Returns (due 31 January and 31 July)
Upload and maintain files on AYO Google Drive (e.g. Awards recipients, Summary of Grants/Donations,
Repertoire Performed, recordings and programmes)
Upload printed programmes and annual Performance Reports to Issuu
Maintain newsletter database and communicate as required with supporters
Design and distribute Chairman’s Newsletters via Mailchimp (and some postal)
Liaise with soloists – obtain signed agreements pre series, arrange tickets for family, send copy of recording
and photos as available, post concert
Asset Management Role
Maintain online asset register of instruments & equipment (details of asset and its current location)
Respond to enquiries – assist with ad hoc hirings
Maintain liaison with instrument hirers
Review instrument insurance policy annually
Marketing
Assist Manager with printing and distribution of posters/flyers
Email flyers/posters to interested organisations in tour locations and in Auck.
Website
Update regularly to maintain current information, links to tickets etc.
Review website theme from time to time (say every 2-3 years) and change to new look as desired to
maintain modern look.
