2.19 Fuel cards
Keep your company fuel card safe and do not leave it in the vehicle whilst unattended.
Ensure care is taken when refuelling to use the correct type of fuel and always record the
mileage and vehicle registration number at the time of purchase. Miss-fueling incidents must
be brought to the attention of the Fleet Management Team straight away
Using your fuel card
If you require a fuel card please contact the Fleet Management Team who will send you a fuel
card application form that you should complete, sign and return. Upon receipt of the fuel card
you should pay attention to the following guidelines for use of the fuel card.
• Sign your name on the back of the card immediately upon receipt
• Take care to use the correct fuel type. If you use the wrong fuel do not start the
engine and call the Lombard Contact Centre for assistance.
• Ensure the cashier enters the correct registration number and vehicle mileage,
every time you fill up with fuel. This is a mandatory requirement of having a
company fuel card and we will monitor the transactions to ensure all company
drivers do this correctly.
• Always check and sign your receipt
• If you lose your card, it is damaged, or it is stolen, you must report it immediately
to the Fleet Management Team and to the card issuer (Allstar).
• If you leave the company you must return your fuel card as requested
Fuel card security
Your fuel card is personally allocated to you and you are responsible for its correct use and
safekeeping.
• Do not swap your fuel card with another driver as the card and PIN are personal to you.
• You may use your fuel card to fill up your own vehicle or a hire vehicle.
• If you change vehicles you should retain your fuel card as it belongs to you not t he vehicle.
If you leave the business, you must return the fuel card to your line manager. You must
not use the fuel card after you leave the business.
• You must report any lost, stolen or damaged cards immediately to ALD/Lombard, the
Fleet Management Team and to the card issuer (Allstar). It is especially important to
report lost or stolen cards promptly so they can be cancelled to prevent fraudulent use.
• You must keep your fuel card in a safe place at all times. Never leave your card on view
in your vehicle. Treat your fuel card as you would a personal credit card. Keep it safe and
secure.
