Information Technology (IT)


               IT Procurement for OCONUS Project Staff / Offices
               Standard CONUS IT Equipment will be managed by the IT Liaison or designee and will be purchased on
               an  as-needed  basis,  considering  recruitment  projects  and  current  inventory.  For  OCONUS  projects,
               following the IT consultation that occurs during the planning phase, the PM or designee will initiate the
               purchase requests for the IT equipment recommended by the IT Department. IT equipment may be
               procured by local vendors or shipped from the Home Office. If IT equipment is being procured locally,
               the PM or PA should first verify with the IT department that the equipment meets Vysnova’s standards
               (both  for  performance  and  security).  Once  verified,  the  PM  and  their  team  will  follow  normal
               procurement procedures for the local purchases (see Direct Purchases under Procurement Section).

               Before the shipment of IT equipment, either by courier such as DHL, a freight forwarder, or carried by
               traveling  staff  members,  Project  staff  will  verify  with  the  local  client  agency  office  documentation
               requirements to clear equipment through customs, any recommended procedures to avoid delays with
               customs officials, and possible taxation issues related to importing IT equipment.

               If  procuring  a  computer  locally,  once  it  arrives,  the  PM  or  PA  should  send  a  ticket  to
               itrequests@vysnova.com to set up a remote configuration appointment.

               Project IT Equipment Set-Up
               The IT Department will provide one or more IT field specialists to work with the Project Team to set up
               any necessary equipment. Mainly this IT person will work remotely; however, the IT Department or PM
               may decide that on-site visits to the location as well as to subsidiary office locations maybe required.
               The IT Department technical personnel will:

               •  Identify project IT equipment, supplies, and service vendors.
               •  Supervise if required any local IT procurement process.
               •  Arrange with local vendors for services such as LAN and Internet service installation
               •  Set-up and configure all IT equipment and software for the new field office
               •  Set-up and configure Internet services and security for the office LAN
               •  Train staff on appropriate use of new IT equipment, software, and ancillary services
               •  Assist with identifying and hiring of host country national IT support staff
               •  Assist with identifying and contracting of IT support services from local vendors
               •  Assist with development of communications infrastructure such as satellite and cellular telephones
                   and radios
               •  Recommend  additional  IT  procurements  or  potential  improvements  to  services  based  upon
                   experience gained on-site

               On-Going Project Support
               The IT Department will remain available throughout the life of a project to provide on-going assistance
               to a field project’s team.  If host country national IT support staff are hired to work in a field office, the
               IT Department will work with the IT Project staff to develop and maintain regular communications for an
               effective and efficient IT system.  To request IT Support, project staff can submit a ticket via email to the
               IT Help Desk at itrequests@vysnova.com. They will receive an automated response letting them know
               their ticket has been received and who has been assigned to the task. They should receive a response via
