Once the applicant has left the office, the ROD Passports staff will complete the
Acceptance Facility and Agent portion of the application (P06). They will record the facility and
agent id number, check the “acceptance agent” box, sign & date the application, affix the ROD
facility seal and prepare the application for shipping (P07). All applications must be stored in a
secure location without access to the public.
After completion of the application, the ROD Passports staff will separate the routine and
expedite applications. Each set of applications are logged onto the transmittal form (P08). All
applications and transmittals are placed in the appropriate envelope (Priority or Express Mail)
(P09). Postage is completed through the 3rd party vendor XPS Ship and placed on the envelope
(P10). At the end of the day, the packages are given to a supervisor or 2nd checker for
completion. The supervisor/2nd checker examines the applications for completeness of the agent
portions (P11). Once the applications are deemed complete, the envelopes are sealed and taken

to an assigned agent for delivery to the US Post Office (P12).
