The main objective of the Examination Management System (EMS) is to aid the vetting process of
examination questions to be more efficient besides to speed up and streamline the process of vetting
examination question papers. The Examination Management System consists of three departments
include the admin, lecturer, and examination unit. The lecturer consists of two roles: first examiner and
second examiner. The first examiner must create two sets of final exam paper questions and answer
schemes while the second examiner is responsible for checking the final examination papers and the
answer schemes and then send the final examination papers back to the first examiner for necessary
correction. On the other hand, the admin needs to manage and maintains the website and system. The
purpose of the examination unit is to receive the vetted examination question and print out the
examination question paper to prepare the students for the final examination. This department has its
function for them to operate without chaos. The Examination Management System provides the vetting
flow of the examination paper, from the first submission of the examination paper by the lecturer as the
first examiner until the Examination Unit received the vetted examination paper to be print for the
students for examination. The system helps stores all the examination papers and documents in an
archive.
Methods
EMS is a structure of how the education organization manages the vetting procedure of examination
papers. This management system aids the vetting process of examination questions to be more
efficient. The EMS can either be in the traditional or automated form. One of the areas of the
management system is EMS which also exists in a traditional structure. The traditional structure of an
EMS usually exists in a paper-based form in which the lecturer needs to request the examination
vetting form physically and submit it manually. The traditional system comprised the use of papers or
forms to keep or recording the data. This will lead to a human blunder as the data could be lost. The
process is also time-consuming, and it needs other staff to check, and this will affect the cost for the
colleges or university. The traditional method of EMS is too long and monotonous to perform and time
and energy-consuming as it is not well-organized. Accordingly, many organizations are struggling to
improve and minimizing the problem occurred in the traditional way of managing the vetting procedure
of examination paper by setting the examination management system.
Examination Management System is an enhancement of the old or traditional method of managing the
vetting procedure of the examination paper. This method is usually used in automating devices such
as desktop applications. The automated system helps to reduce human error and energy as the
information can be delivered without a mistake (Abu-Amuna et.al, 2017). The system will ease the
college or university to manage the vetting procedure of the examination paper and reduces manpower
as the system is reliable, easy to manage and save time. Reducing manual work increases the
efficiency of the information over the system. Table 1 shows the comparison between the existence of
the Traditional Examination Management System and Examination Management System. The system
development life cycle (SDLC) is a process for planning, creating, testing, and deploying the
Examination Management System. According to Gurung et. al (2020), SDLC is the systematic
approach to complete the software development process within time and maintain the quality of the
software.
