The secretary


                  The club/federation secretary is the person who organises all administrative
                  matters around a meeting. This job is very important if the meeting is to be
                  effective. The secretary’s tasks include:
                  •  making arrangements for the meeting
                  •  circulating notice of the meeting and the agenda
                  •  taking minutes
                  •  writing up and circulating the minutes
                  •  following up on ‘action’ points.

                  Listening and conflict negotiation skills


                  At times, some meetings can get a little aggressive. A good way to decrease the
                  aggression in meetings is for people to have better active listening skills.


                  Active listening
                  To recall your active listening skills think about SOLDER.
                  S — face the other person squarely (where possible).
                  O — adopt an open posture.
                  L — lean slightly towards the other person.
                  D — be at a distance of about 1 metre (where possible).
                  E — keep good eye contact.
                  R — try to relax.
