The driver will be asked which company they work for, the date of incident, vehicle registration, name and contact address. If it is safe to do so, smartphone images taken showing the damage and positions of the vehicles are very helpful as evidence in dealing with the claim. If the vehicle is unroadworthy/undriveable, arrangements will then be made for the recovery of the vehicleand a replacement vehicle if necessary. If, however, the vehicle is still roadworthy, arrangements will bemade to carry out repairs at a convenient time and a replacement vehicle will be provided, if necessary, whilst the repairs are undertaken.In the event of an accident, employees should remember and note:%u2022 Exchange name/addresses and telephone numbers.%u2022 Insurance companies.%u2022 Details of any witnesses and sketch a diagram/photos at the time of the incident, if safe to do so.%u2022 Registration numbers and vehicle make.%u2022 Time, date and location.%u2022 Weather and road conditions.%u2022 Any signals made by both parties and vehicle lights present.%u2022 Police identity numbers.%u2022 What was said.%u2022 Whether there were any passengers present in the other party%u2019s vehicle.%u2022 Employees must not admit liability.Drivers should also report the accident and any injury to their line manager.Refer to the Business Use of Company & Private Vehicles Procedure (UKEHS-PR-T07) for further guidance.
