                                    15 May 2025 Abbott UK Company Car Handbook15 ORDERING PROCEDUREThe ordering process has recently changed. A corporate request for expenditure must now be raised by Procurement and Corporate Finance Services for the full year's new leases ahead. The Abbott Fleet Coordinator will keep all renewing drivers informed as to when they can order and Arval will then send access to the portal.The portal is an Arval external website from which you can access your current choice list and order your chosen vehicle. The Arval Quoting tool is a real-time calculation and will calculate quotations including actual trade up or trade down figures based on a period of 48 months. Quotations are valid for 30 days as of when the quote is raised.Acceptance of Trade Up and Trade Down values will be done via the Arval Quoting tool. By accepting a Trade Up or Trade Down, you are giving your consent to the terms and conditions associated with Trade Up or Trade Down. It is your responsibility to ensure that you have read and understood the terms and conditions before consenting to the order. These are listed in Section 12. If you are unclear about those terms and conditions, please contact the Arval Driver Helpline or Abbott Fleet Contacts for clarification.You should make arrangements to order your new Company Car within one month of notification. Confirmation of your order will be sent to you via email with details of the expected delivery date. You will need to check this confirmation thoroughly and inform ARVAL of any changes immediately. Please note that your order will not be processed by ARVAL until they receive approval from Abbott Fleet. This process may take upto 28 days. Please ensure you have reviewed your order as once you have ordered the style, type & model it cannot be amended. You are committed to receiving this vehicle and paying any trade up where applicable.Contact details:Telephone: 0370 600 4499Email: abbott@arval.co.ukWebsite: www.arval.co.ukFor new starters or new to the vehicle scheme, Abbott will provide ARVAL with the employee details and an instruction to provide a vehicle from the allocation pool, which must be taken until the end of the lease period. If there is no suitable vehicle in the allocation pool, either a hire vehicle will be provided and the employee will be asked to order a new car, or the employee will be given the choice to opt into the Fieldforce Car Allowance Policy 15 (FCAP). A copy of this policy is available in the back of this document or from the Fleet Coordinator.16 DELIVERYARVAL will be responsible for the delivery of the new vehicle to the employee only when a Telematics device has been fitted at a time and place convenient to the employee and which will coincide with the current vehicle contract end date. The Tesla/Polestar and Genesis process is slightly different as Telematics is fitted when the vehicle is delivered to the employee. The employee must ensure that FMG, who arrange Telematics installation is informed of the delivery date as the employee will not be able to claim business miles unless they have Telematics fitted.At the time of delivery, it is the responsibility of the employee to check for damage and sign a %u2018Delivery Note%u2019. A copy of this document should be retained for personal records. Any defects and queries should be reported to Arval immediately. The car should not be accepted or driven otherwise recourse with the supplying dealermay be jeopardised. It is the responsibility of the Arval customer service team to deal with any car defects. We would advise that photos are taken of any defects which are visible on the car by the Driver at this stage in refusing delivery. Please refer to section 29, which covers the Return of Company Cars in key for key exchanges.Drivers must inform Arval by email at Abbott@arval.co.uk of any address changes and ensure this is also updated in Workday. Data in Workday does not feed into Arval%u2019s systems so you must ensure both are informed.Employees must take delivery within five working days of it being available at the dealership. If there is an issue in taking delivery of the vehicle then this should be raised with the Abbott Fleet Coordinator immediately.
