May 2025 Abbott UK Company Car Driver Handbook 527 TELEMATICS POLICY7.1 As a responsible and caring employer, the telematics provider will fit all Fieldforce Car Allowance vehicles with a Telematics device.7.2 HMRC require a rigorous, auditable system to demonstrate the accuracy of business mileage. Inaddition, telematics devices have proven their ability to increase health and safety performance, fuel savings, and reduction in accidents. For these reasons, Abbott has made telematics a requirement of choosing a car allowance for every Fieldforce position. Every employee will be provided with trainingto help them understand how this technology will support them to drive more safely and efficiently.7.3 This policy describes how Abbott will use Telematics to collect data and the way in which yourpersonal data (including any sensitive data) will be handled.7.3.1. Data ProtectionAbbott recognises that all employees have rights with regards to how their personal data is handled (including sensitive personal data).Who can view my data?Abbott have appointed specific Data Processors (FMG) who will have the ability to view, process and store the data collected by Telematics.Fieldforce employees who choose to opt for a car allowance have agreed that FMG can supply appropriate data to the Assistant Payroll Manager and will comply with appropriate investigations with regard to compliance with HMRC mileage rules. No other Abbottemployee will be permitted to view this data, with the exception of BHR when a breach of HMRC/Company rules is suspected.7.3.2. Who is covered by the policy?Those covered by this policy include:Drivers: i.e. all employees who use a vehicle fitted with a Telematics device for the purposes of carrying out their duties or for any other purpose. All employees will be provided with a copy of this policy and must comply with the terms.Associated Persons: i.e. any other employee, or family member of, or other individual associated with a Driver who uses or are provided with or transported in a vehicle fitted with Telematics for any period of time and for any purpose. Employees should ensure any other employee or family member is aware telematics is installed.In using, accepting or being transported in a vehicle fitted with a Telematics device, Drivers and Associated Persons agree that FMG may process personal data (including sensitive personal data) about them in accordance with the terms of this policy.7.3.3. What is the purpose of Telematics?Telematics is a learning tool for drivers. It collects data which can be used to identify patterns of driving behaviour, and the Telematics service helps drivers to identify ways in which their driving behaviour may be modified, for the purposes of:- Reducing driving behaviours that may contribute to accidents (which will lower costs associated with repairs)- Reducing insurance premiums- Reducing carbon emissions- Comply with Her Majesty%u2019s Revenue & Customs (HMRC) rules on the recording of legitimate business expenses- Improving fuel efficiency- Allows FMG to identify at risk drivers as part of the risk assessment process and supports them in developing better driver behaviours.
