What data will Telematics collect?- Data relating to driver behaviour which may include information in relation to acceleration, deceleration, speed travelled, stopping distances and cornering.- Distance travelled in any given period and any breaks taken from driving.- Location of the vehicle, which may include location during travelling and when parked.- Data which may be classed as personal data will be captured by Telematics in the process of collecting the above data. For example, Telematics will collect data about locations visited by an employee or their family during their personal time.However, the details relating to private journeys will not be passed onto the Company.7.3.5. Who will have access to the data collected?The data collected in relation to a vehicle fitted with a Telematics device will be processed and securely stored by FMG. The driver will be able to access and view their data online via a secure log-in, the details of which will be provided. The driver will have access to thedata collected in relation to their vehicle only, which includes data relating to the usage of that vehicle by any other authorised driver.Updating the Telematics system should be done weekly as an absolute minimum; however the recommendation is the drivers log-in daily.For the purpose of administration, testing and development, all of the data collected byFMG is stored within a secure database. This is accessible to a restricted number of FMG employees within the IT Development and Telematics team. The Payroll Department will also receive a summarised total of all business and personal mileage to process the appropriate reimbursement in your salary.By agreeing to this policy, the employee gives permission to FMG to provide the appropriate data to the Assistant Payroll Manager to ensure compliance to HMRC rules. No other Abbott employee will have access to this data unless there is a suspected breach of these rules. In this instance, the Country HR Director will be notified and supplied with the relevant information.7.3.6. Storage of dataFMG will ensure that all data collected will be stored and destroyed securely in accordance with the FMGs Asset Classification Handling Protection Policy. Any personal data held will be classified as %u201cRestricted Personal%u201d.FMG will ensure that all personal data collected will be held for only so long as is reasonably necessary. FMG will store personal data for a maximum of three years after the date on which the data was processed, apart from where an accident, claim or potential claim, criminal act or potential criminal act is identified, in which case FMG will store the personal data for so long as is reasonably required to deal with that accident, claim or act.On expiry of this period, any retained data will be anonymised and used for the purposes of statistical analysis or any other reason FMG reasonably considers fit. Any data used for these purposes shall not identify the driver or Associated Person and shall be rendered so as to not constitute personal data for the purposes of the Data Protection Act.7.3.7. How will this data be used?The Telematics system%u2019s primary objectives are to comply with HMRC/Company expenserules and to increase driver safety by identifying potentially high risk driving behaviour. If the data collected highlights particular high risk driving behaviours this will be highlighted to the driver.
