An allocation formula is used as a starting point in determining annual budget allocations. This formula
includes weighted variables representing the average cost of materials in each academic discipline and the
number of students and majors per program /college as well as the faculty members. Funds adjustments may
be applied to a discipline for the new programs, new faculty or curricular emphases, to reflect permanent
budgetary shifts to address a specific concerns in the current collections.
CATALOGING & INDEXING OF MATERIALS
This operation includes determining access points, description of the item, assigning subject headings
and call numbers. Cataloging also includes the physical preparation of materials for their use such as placing
call number in the spine of the book, putting book, jacket, book card and date due slip. The maintenance of
the library’s catalog is also part of the cataloguing services.
Serials Management and Control includes the following processes:
Booking issues received and acknowledgement
Indexing/Abstracting of articles
Claiming undelivered issues/follow-ups
Cancellation of subscription
Binding of back issues
The serial management module is designed to handle the receipt and claiming of serial issues.
Claiming letters can be printed under this module. It allows checking of the current status of serial orders and
titles.
Cataloging and indexing of serial publication are fully integrated with the serial management.
Cataloging is done at the processing section and indexing is delegated to periodical librarian.
Indexing has become increasingly necessary because it serves as a guide to the contents of periodicals.
In indexing, one must determine the scope of the index. The IFSU Library follows the selective indexing.
We index articles with permanent reference value; very brief items of temporary interest are omitted.
We use specific subject headings and cross references to keep similar subjects together. We consult subject
heading list from accredited indexing services such as H.W Wilson Indexes, Sear’s List Subject Headings,
Periodical Indexing involves a stricter discipline, a wider knowledge and unswerving consistency.
It provides the researchers information such as the title of the article, authors name and affiliation,
serial/proceeding title, volume, issue number, page and date of the journal, thesaurus terms,
classification numbers, subject headings and added title key.
Periodical researches may use the printed indexes and abstracts for local journals.
IV.PRESERVATION AND CONSERVATION
Preservation activities associated with maintaining library and archival materials for use, either in their
original physical form or in some other usable ways. It includes:
Conservation – the reactive and proactive treatment of library materials to strengthen them
physically or to stabilize them chemically, thus sustaining their survival as long as they are
needed in the original form.
