b. The distribution of such information should be as limited as possible; it should be sent on a
need-to-know basis only. It should never be sent out wholesale to all members of a grade level
team, for example.
Guidelines for the use of email and the Internet:
1) Emails are not private. In a legal situation, your email can be used against you—even ones you
deleted.
2) If a parent and faculty agree to use email to communicate, it is important for the faculty to
make clear that parents should restrict their communications to brief messages, with the
understanding that no faculty can respond to an email right away.
3) Renbrook's email system and/or access to the Internet may not be used for:
• Commercial or private advertising
• Posting anonymous messages or using another user's account or password
• Sending unwanted email or chain letters
• Private financial or commercial gain
• Any illegal activity, including copyright violations, or the transmitting of any material in
violation of U.S. or state regulations
• Viewing any form of sexually oriented material or pornography
4) While using the Internet, employees must follow the accepted rules of network etiquette and
conduct themselves in a responsible, ethical, and polite manner. Employees may not transmit,
receive, submit, or publish any defamatory, abusive, obscene, threatening, or potentially
dangerous material.
5) Renbrook reserves the right to monitor Internet, email, and school-provided cell phone use.
6) Renbrook has an "Acceptable Use Policy" distributed to and signed by all employees for
assigned computers and/or devices.
7) Renbrook monitors all computer usage that occurs on the school's machines; the IT department
can track the Internet activity of all users of school computers. It is not routine policy to
examine files, but the IT department performs random checks of student usage and in that
process may also occasionally check faculty/staff usage: emails, websites visited, cache and
cookies, etc.
8) School computers should never be used for any commercial purposes—for buying, selling, or
trading goods and services.
9) The use of the Renbrook’s resources to access, further or otherwise participate in activity which
is inconsistent with the mission of the School is prohibited. This includes, but is not limited to
the following: illegal activity, sexually explicit material, hate speech, violent behavior and
bullying, spam, hacking, etc. An exemption is granted for individuals engaged in normal
pedagogic related activities or research, provided that it is consistent with Renbrook’s mission.
Copyright Laws:
1) As in other areas of the school, copyright laws apply to the area of technology. No unauthorized
use of copyrighted materials will be allowed. All faculty and staff should model legal and ethical
behavior in regard to materials. Users should always cite electronic sources when including on-
line resources in publications. This would include text, graphics, photos or videos taken from
Internet web sites, CD ROMS, email messages or binary attachments to email.
2) Users should neither load nor use any illegal commercial software on Renbrook's computers.
Renbrook honors the copyright laws and purchases appropriate licenses for all software used.
