16.3.1 There may be instances when personal information is sent to or
received by the school even without prior request. In such cases,
the school will determine if it can legitimately keep such
information. If it is not related to any legitimate
educational interests, the school immediately disposes of the
information in a way that will safeguard the student’s privacy. If
it is related to legitimate educational interests, it will be treated in
the same manner as the information provided by the student.
16.4 Student personal information is accessed and used by SISC-authorized
personnel who have a legitimate interest in it for the purpose of carrying
out their contractual duties.
16.5 The school uses personal information as permitted or required by law to
pursue the legitimate interests of an educational institution including a
variety of academic, administrative, historical, and statistical purposes.
Some examples of situations when the school may use personal
information to pursue legitimate interests as an educational
institution are as follows:
16.5.1 evaluating applications for admission by the Registrar’s
Office;
16.5.2 processing confirmation of returning and incoming students
in preparation for enrollment;
16.5.3 recording, generating and maintaining student records of
academic, co-curricular and extra-curricular progress;
16.5.4 recording, storing and evaluating student work such as
homework, seatwork, quizzes, long tests, exams, term
papers, theses, research papers, reflection papers, essays
and presentations;
16.5.5 recording, generating and maintaining records, whether
manually, electronically, or other means;
16.5.6 establishing and maintaining student information systems;
