ANNUAL REVIEW:
When an employee is hired at the University of Florida, he/she accepts the responsibility to
work every scheduled day (UF Employee Handbook). Employees are expected to report to work
as scheduled, ready to start work at the beginning of their shifts and to work until the end of
their shifts. The supervisor must be notified if the employee is unable to report to work on
time or needs to leave work early. More than two tardies or instances of leaving early in a
biweekly can result in corrective action. Time missed due to tardiness or leaving early may only
be made up with prior approval of the supervisor.
Abuse of leave time will be determined by the employee’s immediate supervisor, giving
consideration to the circumstances and the level of workflow interruption.
Vacation leave and scheduled sick leave must be sent to the department Outlook calendar
(Anes-DepartCalendar), and approved in advance by the immediate supervisor. Optimally, an
employee should never use more leave than is accrued.
An employee who is unexpectedly absent must notify his/her supervisor or the appropriate
department contact via the supervisor’s preferred notification, with an email at a minimum,
prior to the beginning of the work shift.
Employees are required to email the supervisor on a daily basis at the beginning of the work
shift during an extended unscheduled absence (i.e., illness), unless a specific exception is made
by the supervisor.
Employees returning to work after an illness or injury, who have been absent from work for five
or more days may be required to bring a medical certificate. This policy should in no way usurp
Shands Hospital’s policy of Shands employees reporting to Occupational Health to be cleared
for return to duty after being out sick for three or more days.
An employee’s attendance becomes unacceptable when review of his/her record shows:(1)
More than six occurrences of unscheduled absences in a six-month period. The six months is
determined using a rolling calendar, i.e., counting back from the most recent incident. An
occurrence is each day of absence. A multi-day absence may be counted as a single occurrence
providing the appropriate notice was provided to the supervisor.
