            Hiring Manager Checklist



            Please note that New Employee Orientation (NEO), Department/Unit Orientation, Piedmont Regulatory Orientation (PRO) and
            e-Learning modules are to be complete prior to your employee working independently.

            Pre-Board:
                 Prepare office location: order office supplies; request technology: desk phone, computer,
                   cellular device, Right Fax and access key cards (if applicable) Badge Access:
                   badges@piedmont.org
                 Submit IS access for systems and shared rights folder(s) HEAT
                 Provide Piedmont-specific templates, logos, email signature, etc.
                 Order business cards and any additional stationary, if needed
                 Create onboarding schedule
                 Assign a buddy to help onboard the new hire and provide checklist to buddy.
                 Send welcome card/email
                 Send new employee announcement to
                 Prepare welcome packet to include welcome sign with team signatures and well wishes
                 Before his/her first day on the job, ensure the employee is aware of when and where to arrive
                   on day one, and of any dress code requirements, etc.
                 Ensure preceptor understands their role and materials to be covered during orientation period.

            First Day:
                 Take new hire to lunch or arrange for buddy/other department representative to do so
                 Provide employee with his/her Piedmont network User ID and Password to ensure easy access
                   to PeopleSoft Employee Self Service, the Village, Policy Stat and other important applications
                   and systems
                 Provide employee with his/her job description and review expectations
                 Ensure he/she has the equipment supplies needed to perform his/her job
                 Review remainder of onboarding schedule for first week
                 Schedule meet and greets within the department

            First Week:
                 Schedule departmental tour
                 Provide scheduled time for employee to complete Piedmont University e-learning modules
                 Review Piedmont Regulatory Orientation (PRO) worksheets/checklists with employee.  (To be
                   completed prior to employee working independently)
                 Schedule IT to perform a desktop review (if applicable)
                 Show the employee how to update his/her Village profile
                 Review organizational chart, department structure and department initiatives
                 Review Piedmont’s Purpose, Vision, Values and Core Behaviors, as well as the Strategic
                   Framework that highlights the four anchors: QSS, Talent, Strategic Growth and Stewardship
                 Review Performance Excellence timeline and performance evaluation criteria (90-day, annual)
                 Review PeopleSoft Employee Self Service (ESS) functionality
                 Review Piedmont University E-Learning modules to be completed within first 30 days
                 Schedule unit orientation and testing (if applicable)
