1. You represent a supplies company and you’re the one in charge of drafting
a contract with a client. Request that the changes below be accommodated
in the contract.
a. that the allowance for delivery be changed from 2 days to 3 days (think of
a valid reason)
b. that the penalty for late deliveries be changed from 1% of 10% of total
payment to 10 of 100% of total payment
Sample answer:
Good morning. I’m Carol and I represent New Generation Pro. I’m the one in charge of review-
ing the contract draft for the deal that our companies have settled. We have a request to make
regarding delivery. We want to ask if it’s possible to change the delivery allowance days from 2
to 3. We hope you understand that our warehouse is in a remote province and there are times
when bridges and roads in the place get damaged by storms. We cannot control these factors,
so we are asking for your understanding. We are simply requesting one more day to make
room for such emergencies. Also, we want to bargain on the penalty for late delivery. Based on
our experience with our clients, we are usually penalized with a 10% fee for late deliveries. We
just feel that 1% of 10% is too big. Although, we will do our best so that we won’t ever deliver
late supplies to your company, we want to feel safe by making this request. We hope that you
would understand our reasons and consider them valid. Thank you very much.
2. Finally, you are about to close a deal with a big company and you’re plan-
ning an extravagant contract signing even that will also serve as a promo-
tion for the upcoming projects of the two companies. Inform the other party
about the details below.
a. date, time, venue of the contract signing engagement
b. attire for the event
c. invited guests
d. program details after the signing
Sample answer:
Hello! This is Ms. Sun-yong, the head of the marketing department of Generation X Specs. We
have been assigned to make the preparations for the contract signing engagement of our com-
panies. I would like to inform you that we have scheduled the occasion on October 8 at 8pm
at the Pearl Ballroom of the Crowne Plaza. Please advise your staff and guests to wear formal
attire for the occasion. The men are advised to wear coat and tie, while the ladies are requested
to be in business suits or cocktail gowns. We will be faxing our list of invited guests to your of-
fice. Definitely, our chief executives and members of the board will be gracing the event. We
will begin with the usual opening remarks, a short introduction and a video clip presenting the
significant information about the big project. We end with the contract signing and then a few
words by the Chief Executives of the two companies. This will be followed by some cocktails
and dancing. We have invited a live band to take care of the music. Members of the press have
been invited to document the said event. The program details will also be faxed and sent to
your office via email. Thanks for your time!
