1. Inform a client that you can only accommodate his order if he will agree to
a separate shipment. Present the points below as reasons why having one
shipment is not possible.

Sample answer:
Mr. Clifford, we regret to inform you you have to agree to one condition to be able to continue
with our business. We cannot afford to ship all your orders together, so we’re planning for a
separate shipment, which will arrive in New York a day after the other. We decided to take this
option because of the exceptionally big order that you placed. One ship won’t be able to ac-
commodate all your orders. All ships are booked and we could only find two ships that could
still accommodate your orders, although separately. I hope that you will carefully consider this
option and we hope that you will still decide to do business with us.
2. A client has agreed to the separate shipment of their placed orders. Explain
the plan for the separate shipment. Present the plan below.
a. Departure of first cargo : September 29, 2007
Arrival at New York Port : October 15, 2007
b. Departure of second cargo : October 1
Arrival at New York Port : October 16, 2007
Sample answer:
Thank you for deciding to do business with us. This is the plan for the separate shipment of your
orders. The first cargo will be loaded onto the Victory ship on September 29, and it is estimated
to arrive at the NY port on October 15. Your other cargo will be loaded at a later date, October
1, onto High Seas, a much faster vessel that will take a different route to NY. The second cargo
will arrive at the NY port on October 16, only a day after the first cargo. We will ensure the safe
and careful handling of all your merchandise. Don’t worry.
