26 May 2025 Abbott UK Company Car Handbook31 POLICY ENFORCEMENT PROGRAMMEThis programme has not been introduced just to save costs, but more importantly to ensure that drivers take responsibility of the condition of their company car, to protect Abbott property and assure theirsafety and that of others. Abbott will monitor that the Company Car Handbook and the Business Use of Company & Private Vehicles Procedure (UKEHS-PR-T07) are being adhered to. Any non-compliance will result in the financial penalties detailed below.31.1 CONDITION OF CARAll damages to your car must be reported as soon as the damage is seen. You will be charged for the totalcosts of repairs if the damage has not been reported. A reminder that it is forbidden to smoke in all Abbott leased vehicles. The Disciplinary Procedure may also be invoked.Employees are responsible for the condition of the car as soon as they take delivery of the car and until the car is being collected. It is therefore important that employees check the vehicle and sign a vehicle inspection in all the following circumstances:%u2022 When a new car is being delivered%u2022 When a car is being collected from themReturn cars must be thoroughly cleaned and in a condition commensurate with the age and mileage of the car.Cars returned in an unfit state may be valeted or repaired and the total cost will be deducted from the employee's monthly salary or expenses. Where the employee is returning the car, and leaving the Company, the Company reserve the right to withhold%u00a31000 from the last salary to pay for any damage outside of the BVRLA standard for fair wear and tear. The money will be reimbursed to the employee the month (depending on payroll) following should there be no charge from ARVAL.Bodywork Damage: When checking the condition, the guideline we use is that bodywork damage is considered anything other than normal wear and tear. %u2018Wear and tear%u2019 is damage you would expect to see on a used vehicle of high mileage. For example, small stone chips, small denting, minor scuffs to bumpers and wheel trims, etc.Anything that is likely to rust or is more than surface markings should be reported for repair. If in doubtreport it to FMG Accident Management and inform your line manager and the Abbott Fleet Contacts.A vehicle inspection will be carried out by your manager from time to time who may invoke the Disciplinary Procedure if you fail to address issues relating to the condition of your car.31.2 ACCIDENT FINES AND TRAININGA review of all accidents and incidents will be carried out. All accidents will be assessed, and appropriate action will be taken, which may include additional training e.g. on-road training. In some cases, the driver will not be able to continue driving until he/she can satisfy the company that they can drive safely. Such steps are likely to be taken as part of the disciplinary process.Drivers will be fined as follows:%u2022 %u00a3100 for the second consecutive at-fault accident in a rolling 12-month period where no 3rd party is identified as being at fault.%u2022 %u00a3300 for the third consecutive at-fault accident in a rolling 12-month period where no 3rd party is identified as being at fault.%u2022 An incremental increase of %u00a3100 will be added to the above fines for each additional at-fault accident where no 3rd party is identified as being at fault subject to a maximum of %u00a3500.
