                                    34 May 2025 Abbott UK Company Car Handbook33.10 WHAT IS THE PRIVACY SETTING AND WHEN CAN IT BE USED?We recognise that Drivers have a right to privacy; therefore, the telematics device has a privacy setting which is automatically activated. The privacy setting does not change the categories of data collected by the telematics device. The automatic privacy setting means that FMG cannot view the Events Data for a green journey with the exception of any journey that the driver has set to a business journey. FMG will still be able to view the Events Data from any amber or red journeys made even with the privacy setting being active. The privacy setting will not affect the visibility of the Summary Data. This means that FMG will continue to be able to view the Summary Data for all journeys made whilst the privacy setting is switched on.The privacy setting is automatic and cannot be turned on or off and applies where a green ultra score of 9/10 is achieved.33.11 STORAGE OF THE DATA COLLECTED BY THE TELEMATICS DEVICEThe data captured by the telematics device is not stored on the device itself but is transmitted to a cloudbased database. The non-identifiable TrakM8 Telematics data is stored on Trakm8 servers which are located in the UK. Copies may also be stored in AWS (Ireland and Germany) for backup and disaster recovery purposes. FMG stores its data on servers in the United Kingdom. Abbott stores the minimal data it receives from FMG in the United Kingdom.33.12 HOW LONG WILL THE DATA COLLECTED BY THE TELEMATICS DEVICE BE RETAINED?FMG will store detailed trip journey data i.e. GPS location points from within all journeys for 12 months, driver Events Data and driver identifiable summary of journey data for 2 years from collection.Anonymised Summary data is stored for a further 5 years. Anonymised data will be used by FMG for the purposes of statistical analysis or any other lawful purpose. Any data used for these purposes will not identify the Driver and shall be anonymised so as to not constitute personal data for the purposes of GDPR.TrakM8 retains the data it collects from the telematics device for 12 months. After this time only headline reporting data is available, which is not identifiable. Abbott retains the Summary Data it receives from FMG for 7 years for tax reporting purposes and any Events Data is receives from FMG for the duration of the Driver%u2019s employment with Abbott UK and 6 years thereafter as part of the Driver%u2019s employment record.33.13 WHAT HAPPENS TO THE TELEMATICS DEVICE ON TERMINATION OF THE VEHICLE%u2019S LEASE OR THE DRIVER%u2019S EMPLOYMENT?The telematics device is not designed to hold any personal data. All data collected by the device is transmitted to the databases operated by TrakM8 and FMG. When the lease for the vehicle expires, the telematics device is disabled and cannot be reactivated. When a Driver leaves their employment and their vehicle is provided to another employee, Abbott make FMG aware of this and FMG sets up a separate account for the new employee. This means that data captured by the telematics device for the new employee is separately recorded under a new account only available to the new employee.
