3. New Services
a. Refer to recent communication concerning codes to be used when booking jobs to ensure
captures all the New Services (if unsure then ask BU Head or Finance to share these). This
will be monitored monthly and the New Services AOT report from BI will be taken as
actual, so make sure the jobs are being booked correctly.
b. BU Heads should check in BI the monthly New Services AOT report to ensure all jobs have
been correctly captured in the system.
4. PO’s and Contracts
a. If booking a Partnering/PRP job without PO from client, then make sure to have a written
email confirmation from Panicos and Rana. Finance will need this for their records.
b. For all client contracts to be reviewed, send directly to legal (Renalda) and always cc Elias on
the emails. Note: if relates to a Global Partnering/PRP then will need to be checked by NA Legal team.
For such cases, then kindly liaise directly with Elias.
i. No client contract should be signed/stamped without legal & finance review and
approval.
c. No job should be started without the PO/contract in place. For exceptions then email
confirmation from MD is required.
d. No job should be finished (report sent/presentation delivered) without the PO in place and
ideally the first payment made. Any exception to this should have MD & CFO approval.
Reminder: make sure to check with finance for any pending invoice/payment issues prior to submitting the
final report.
e. If a PO/contract has not been received within 60 days, then the job should be reviewed if
genuine and issue will be raised to MENA/Group management.
f. It is the responsibility of the researcher/KAM to ensure the PO/contract is received for a
job commissioned.
g. When dealing with a NEW client, then make sure to involve finance from the beginning.
Critical to receive upfront payment is such cases.
5. Proposals
a. VAT Introduction – with UAE and the GCC looking to introduce VAT (likely to start
from 1st Jan 2018), then any contract/job running into 2018 must be covered for VAT
exposure in the contract terms. Hence, please ensure that finance is involved in all
discussions and that the standard proposal template used includes a clause around this.
b. It’s important that all proposals are set-up in job book immediately, even before they have
been sent to the client, in order to have a full picture of the commercial activity and the
pipeline.
c. This is also a Group requirement and each BU’s compliance is being monitored.
d. Essential to track the number of proposals submitted to ensure accurate reflection of the
business is shown in the system and can analyse proposal win ratios, etc.
