• Missing PO/Contract
- Make sure to follow up on PO/contract and send to Michelle. PO # or contract #
must also be entered by the researcher in job book. There is a field for that under the
billing schedule tab.
- With incorrect PO/contract, the job will still be in the list of missing PO being sent
to Daniel until sorted out.
- Partnering/PRP clients with missing PO, make sure to have Rana/Panicos’ approval
before booking the job.
- Aged Unbilled Revenue report will be sent to the Group on monthly basis for jobs
with invoices not raised over 60 days.
• Closing Job (turning to K-Closed)
- Review your DC forecast and billing dates before closing the job.
- Set the job status to Closed on job book to indicate that the project is over. Change
the end date to current date if project is finished earlier than the schedule.
Coordinate with finance to ensure the remaining invoices are raised and direct cost
actuals are submitted and booked.
- Always close your job on time.
• Missing DC
- Once a project is closed (K), make sure to follow up and get all the missing DCs submitted and
booked at the earliest. Once the job is completely closed (N), then all delayed actual DCs will be
rejected and will have to go through Daniel’s approval to re-open the job. Getting his approval will
be the researcher’s responsibility.
- Please note that when a job is closed (K) and all invoices have already been issued & all forecasted
DC have been received, it will be turned to N directly.
• Billing Schedule
- DO NOT keep a job without billing schedule. A job w/o a billing schedule will be
flagged in the integrity report.
• Billing Client Selection
- Make sure to select the correct billing client for the job as per PO/contract or
client’s billing instruction. There is a specific code for each client as per client’s legal
entity name. Check with finance if unsure.
• Billing Currency
- Should be as per PO or contract. If selected a wrong currency, ask finance to enable
the “NEW” button for you to re-create the billing schedule.
• Updating Revenue Forecast and DC Forecast
- When revenue is adjusted, make sure to review and update the DC forecast as well to
reflect correct GM%.
• Job Create Date and Job Start Date
- Job Create date should be the same as job start date as per Group’s memo, unless
there is a proper justification (e.i project split into waves or quarterly etc).
