3.5 Lining Off
After the last customer complaint on the front of the Repair Order a line must be drawn. This will assist
in identifying any additional work that the customer did not originally request.
3.6 Additional Work
When additional repairs are noted in the workshop they must be added to each copy of the Repair Order.
These must be checked by the Service Manager prior to starting any work to ensure the additional work
meets the criteria.
Each additional job line must be initialled by both the Service Manager and the customer.
Only repairs requested by the customer or safety related repairs are to be carried out.
3.7 Parts Retention
The warranty administrator should ensure that only parts relevant to the repair are claimed and the
technician’s report justifies the replacement. The Repair Order must contain all parts replaced as per
the repair. The parts list must be legible and contain:
Part Number(s)
Quantities
Job number
PLEASE NOTE: A copy of all parts and sublet invoices must be attached to the Repair Order.
All parts replaced as part of a warranty repair must be cleaned, repackaged in the replacement part
containers, tagged and stored in a secure location for six months from payment date. Parts should be
stored with a system to allow easy retrieval during an audit. Any hazardous materials should be stored
according to your local authority’s regulation (Worksafe).
Warranty tags should contain:
Dealer Name
Warranty Authorisation Number
Repair Order Number
Date of Repair
VIN
Mileage
Description of Concern

The warranty administrator should compile a warranty register including:
Repair Date
Claim Number
VIN
Part Number
This allows the accurate monitoring that all warranty parts are located. This also ensures no parts are
discarded prior to six months from claim payment date.
After the storage period, the parts must be destroyed and disposed of in the most environmentally
friendly way possible.
