Organising meetings and managing all visitors to the office
There is a risk that people attending meetings at the SAPPO office might be
unintentionally bringing the COVID-19 virus to the meeting. Others might then
be unknowingly exposed to COVID-19.
Personal visits should be discouraged first and offered alternative methods
such as:
o using other Telecommunications Methods like Teams when consulting
with business developers.
o farm visiting by business development managers.
Before the meeting
• Consider whether the meeting is necessary or whether it could be
postponed or replaced with a teleconference or video conference.
• Develop and agree a preparedness plan to prevent infection at the
meeting.
• Ensure that there is sufficient supplies and materials, including tissues
and hand sanitizer for all meeting participants.
• Advise participants in advance that if they have any symptoms or feel
unwell, they should not attend.
• Ensure that all participants, including meeting organisers provide their
contact details:
o mobile number, email, and address where they are staying
o State clearly that their details will be shared with local public
health authorities if any participant becomes ill with a suspected
infectious disease.
• Develop and agree a response plan in case someone at the meeting
becomes ill with symptoms of COVID-19
• All equipment should be sanitised before the meeting
During the meeting
• Provide information or a briefing, preferably both orally and in writing,
on COVID-19 and the measures that SAPPO are taking to make the
meeting safe for participants.
