VEHICLE
2.1 Vehicle condition
You are responsible for ensuring that your vehicle is properly maintained. In order to keep your
vehicle safe and reliable you should regularly carry out vehicle checks and before driving a
vehicle that is new to you.
The condition of your vehicle is representative of the professional image of the company and of
the driver, so you are expected to take the best possible care of the company’s asset. A well-
maintained vehicle can also increase the residual value when disposing of it. Make sure it is
regularly washed and vacuumed and take all steps necessary to protect the interior of the
vehicle especially if you carry dirty/heavy duty equipment.
The day-to-day maintenance of the vehicle is the responsibility of the driver not the Fleet
Management Team. Make sure that your vehicle is serviced according to manufacturer's
recommended intervals, at the correct times, by authorised garages, and ensure that the service
book is stamped after each service. Do not rely solely on a built-in service indicator. Read the
service interval guide and check for major items such as when the cambelt is due to be
replaced. Any failure on your behalf to adhere to this instruction may result in you being asked
to make a contribution towards any subsequent repairs.
2.2 MOT Tests
You are responsible for making sure that the vehicle has a valid MOT certificate where
required. You will be sent a MOT test reminder approximately six weeks prior to the date it
is due and, if no certificate is received, a second reminder will be sent two weeks prior to
the due date. You are asked to make the booking straight away, but you should book the
test at least 1-2 weeks in advance of the due date.
2.3 Vehicle Checks
You are expected to carry out monthly checks on your vehicle; we also recommend
checking your vehicle prior to a long journey. The checks should include:
• Tyres - check for tread depth, pressure levels and check for damage.
• Oil - do not over-fill or under-fill as this can cause serious engine damage.
• Fuel – keep your fuel level high so you don’t run out, fill with correct fuel type.
• Fluid levels – maintain correct levels of coolant, brake fluid and washer fluid.
• Lights & wipers – check that they are in good working order.
• Check the bodywork for damage and for contaminants such as bird lime.
2.4 Vehicle Maintenance
Your safety whilst driving is of paramount importance to the company. Arrangements are in
place to ensure that you have the facilities to comply with your ‘Driver Responsibilities’ and
that you can easily arrange servicing, repair, and roadside assistance when required.
