4. Car rentals are generally the most expensive mode of transportation and should
only be used when the nature of the trip or the location of the customer being
visited is such that use of local transportation (e.g., taxi or limousine service) is
not practical or would be more expensive. When renting cars, you must use the
Corporate American Express Card, allowing you to be covered by insurance, thus
you are to decline insurance at the time of rental.
5. You must have a valid driver’s license. You must rent intermediate-size cars
except when hauling equipment, transporting clients or traveling with 2 or more
employees. Employees should refuel rental cars prior to return to the rental
vendor to avoid the surcharge on fuel.
6. When traveling outside the U.S., you should obtain the additional collision and
personal accident insurance offered by the car rental company.
7. Employees will not be reimbursed for any fines (e.g., moving or parking)
incurred when using rental or personal cars while on company business.
8. Company computer and phone should not be checked when traveling by air but
are to be carried by the employee.
9. Exempt employees will be paid their regular salary for weeks in which they travel.
Nonexempt employees will be paid for travel time in accordance with federal and
state wage payment laws.
10. Any employee who operate a motor vehicle for company business will need to
comply with the Vehicle Policy including an annual motor vehicle driving record
check.
