                       FERC: Secretary - Work Description and Personal Qualities

          Title: Secretary

          Reports to: The FERC Board / Advisory Committee (AC)
          Main  purpose:  To  organize  and  manage  the  general  information  of  the  FERC  Board/Advisory
          Committee before, during, and after meetings
          Working hours: Variable but an estimated average of 5 -8 hours per month
          Key tasks:
          • Attend all AC meetings and major events.
          • Prepare an Agenda for each meeting (using the current template) based on input from all AC
            members.
          • The agenda is to be sent out 1 week prior to the AC meeting for review and comments.
          • Organize/print all supporting documents for distribution at each AC meeting.

          • Take detailed minutes at each AC meeting.
          • Produce detailed ‘draft’ meeting minutes (using the current template) and distribute them to all
            Board/AC members for verification.
          • Produce a final version of the minutes and distribute them to all Board/AC members.
          • Assist the Chairperson with correspondence.
          • Provide  administrative  and  practical  support  for  all  fundraising  activities,  especially  the  Silent
            Auction (soliciting & collecting auction items, writing thank-you letters, etc.).
          • Work  with  members  of  the  Scholarship  Committee  to  organize  historical  student  scholarship
            records.
          • Upload documents to the Google Drive account; organize folders/files as needed.

          • Any other duties that may be reasonably required by the Board from time to time.
          Skills and Experience:
          • A good command of written and spoken English.
          • Experience with, or willingness to learn, minute-taking and standard secretarial skills.
          • Experience working in a team.
          • Possess good time management skills.

          • An ability to work independently and flexibly.
          • To be familiar with confidentiality requirements and data protection.
          • To be mindful of equality and diversity requirements.
          Essential:
          • Have their own computer, scanner, MS Word/Mac Pages and PDF software, and a printer in
            good working condition.
          • To review the FERC Handbook.
