of the projects that were set and track. It happens twice a year actually.


              Some of it is hands-on and done by me. When it comes to form 700 filing - that is hands-on work that I
              am doing myself. Then I have the part time secretaries that will assist me in getting correspondence out
              and that kind of thing. The City of Hercules is  small City so directors tend to be hands-on.


            5. Please describe your experience with electronic filing systems as it pertains to this position.


              With Hercules we have a records management program - they get categorized and filed so they can be
              located easily when we need to find something. One of the first tasks that I was assigned to, we wanted
              to get our agenda management system put out on the web and also have an electronic system for
              putting packets on the web. We are using Granicus now and we have trained all of our staff to use it
              and it is working really well. IT is really speeding up the process in terms of getting our agendas online.
              I'm pretty proud of that.


            6. Please describe your experience in evaluating technology and operational procedure utilized in an
              administrative department and your approach to implementing change, if needed.


              That would go back on what I just described with the agenda management process. It was very manual
              and labor intesnive. The person before me had looked into the agenda management process. We
              looked at the process and determined that it was too labor intensive and the agenda manaement
              software would really benefit the City. We issued the RFP, awarded the contract - went with Granicus
              and legistar. We trained all of our personnel to use the system, which was 2.5 years ago. It was very
              successful and it didn't take too long to get it implemented.


            7. Please describe the roles in which you have had a relationship with a board of directors, and what
              your role was in those examples. Can you provide an example of when you have had to research a
              regulatory item and present your findings to the Board?


              I've done many staff reports on a variety of items. Maybe our biannual conflict of interest code - that
              requires a report to the City Council, I would recommend any changes that need to be made to that
              code, and resolution to adopt it biannually. That would be really common to adopting items that would
              go in front of the City Board.

              I attend all meetings of the City Council - record the minutes - prepare the minutes - and finalize all of
              the actions taken at the meeting. I manage those from beginning to end.


            Communication, Collaboration, and Personnel Management

            8. This position will interact with managers throughout the organization as well as partner
              organizations and individuals in the community. How do you evaluate whether your department is
              providing a good level of customer service? What do you feel are some of the challenges to achieving
              a high level of customer service?

              I collaborate with all of our department heads currently. We are in weekly management meetings,
              where we discuss everything in Board agendas, how we can help each other achieve our objectives and
              goals, constantly asking for feedback and staying in constant communication is key in being successful
              in that.
