3.4 Sharing information
Sharing information at workplace will have a positive effect on productivity and
efficiency. Few employees adopt the easy and efficient ways to share the
information in order to achieve the set goal. This will lead to cost savings for the
organisation. There are a number of ways to share information among employees
and work groups.
Face-to-Face meetings
Face-to face information sharing is the most efficient method of sharing information.
Face-to-face meeting is the safest procedure and aids the individuals to involve in
the discussion, ask questions and to get answers without any delay. The only
problem with this method of sharing is it is difficult and cost-effective to assemble
everyone at the same time and same place.
E-mail
E-mail is another method of sharing information. An e-mail is sent to multiple
individuals or groups with just a click button. Security is the main problem with this
type of sharing. Possibility of getting hacked or sending the information to wrong
address may happen. This method needs time for an individual to respond or to
send the reply.
Forums
Forums is the new method of sharing information used by the organisations with
large numbers of employees and work groups. Forums post the information in the
central webpage with controlled access. People who need to know about the
information can only access the content by logging in. this is the safest method of
sharing information.
Multiple people can log into the forum at the same time and can talk to each other,
post information, ask questions, give answers etc.
Telephones and conference calls
Individuals are called over phone or large groups can have a conference call for
sharing information. This gives an opportunity for everyone to ask questions, share
information and to give replies for questions during the call.
This method of sharing information is economical to the organisations as people
involved in the call can be at their respective places and thus eliminate traveling
time and cost.
