Once an email has been reviewed, click the star to the left of the email line and use the
following symbols to indicate the email’s status:
● Green check mark = Complete
● Red exclamation point = Needs Attention
● Purple question mark = Reached Out/Left Message/Waiting for Follow Up
Response/Questions
Click the star multiple times in order for the correct symbol to appear.
It can also be helpful to apply a Label to an email while it is still in the Inbox to make the
message more easily identifiable. Click the Labels icon from the message’s toolbar and select
the applicable label, which will be visible in the email line from the Inbox.
Organizing & Sorting Emails
Email folders are utilized for the sorting of emails. The goal is to have an empty Inbox and
organized folders that make it simpler to find emails when necessary. Once an email has been
handled, or after 2 weeks if waiting for a response from a patient, it should be moved from the
Inbox to the appropriate folder.
For example, an Emory Day submission was received from a potential new patient:
1. The email will be marked Red to show that the patient must be called.
2. Clinic called and had to leave a message, so the email was changed to Purple.
3. The patient called back and scheduled their evaluation, so the email was changed to
Green (complete) and moved from the Inbox to Emory Day under the Patient
Communication folder.
