CENSUS REPORTING AND DROPPING STUDENTS
The first state enrollment census is taken at the 20% point of your class. The last date to
drop students is at the 44% point of the class. Please refer to your Faculty WebAdvisor
for each course section for Census and drop deadlines and adhere to these deadlines.
Since CCAP classes have different start and end dates than regular VVC classes, it is
important to check Web Advisor for these dates.
It is mandatory to report no shows and to complete your census one-day PRIOR to the
Census date (20% point) for each section you teach. The electronic function of
dropping students as No Shows and reporting Census in Web Advisor is not available
on or after the 1 Census date. A student who never attends your class should be

reported as a No Show (NS). The last date you can drop a student as a No Show is the
day before the 1 Census date. This will also ensure that the student does not receive

a “W” on their transcript. If a student stops attending, they should be dropped for non-
attendance before the last date to drop (44% point).
To process census reporting student drops, select “Faculty Student Drop” by logging on
to WebAdvisor. Be sure to click on the box that states “I have reviewed my roster and
confirm that there are no drops or all drop activity has been completed” and click
SUBMIT in order to complete Census reporting and student drops.
Census is a very important process that must be completed by all faculty. It is used to
accurately determine VVC’s Full Time Equivalent Student (FTES) apportionment funding.

Questions and Answers
1. Why do I need to drop students during the census period?
Title 5, section 58004(c), requires clearing the rolls of inactive enrollment for attendance
accounting purposes during the census period. During this period, instructors should drop
students via Faculty WebAdvisor.
2. What are the consequences if I submit my census drops late or do not submit
my census drops at all?
The college receives apportionment for which it is not entitled and it may have to be returned.
3. Am I required to submit census drops online?
Yes, this is the best option available. If you are unable to do so, please contact Jill Caldwell,
Secretary for Dual Enrollment and she can assist in processing drops.
