Standard Operating Procedure –Process to Certification of Short Course
Primary Responsibility: Administrative Assistant
Purpose: To create a standardized process to admit, enroll and certify students completing short courses
at GAU
Time Frame: As listed below
•The course period is advertised at least 3 months in advance of its
commencement.
Preadmission • Description of the course, learning objectives, modules, length, of course,
duration of course, and cost must be advertised. Contact information for
administrative officers must also be advertised.
•Student applies via electronic platform
•If applicable, eligibility for the course is reviewed by no less than 2 academic
Admission •The Admissions officer records all application and confirms that all required
staff
documentation (if applicable) is submitted.
•Students are enrolled only after being approved by the HOD and payment is
confirmed by the Finance office.
Enrollment • Within 5 business days of enrollment, the administrative office will send a copy
of student handbook which outlines the policies and procedures governing the
delivery of the course and students wellbeing.
•At least 48 hours of the commencement of the course, students will receive all
required documentation for the course.
•Upon completion of the course and a successful assessment student will be
informed of their status of completion via electronic mail. A soft copy of their
Certification certification will be attached to the electronic mail unless provided by an
external quality-assuring agency.
