2. What is the importance of welcoming the participants to the meeting?

                  Sample answer:
As soon as everyone has arrived, whoever is in charge should extend a formal welcome
to the participants. Welcoming participants officially starts a meeting and encourages
everyone to focus on the upcoming discussions. It is also used to acknowledge the
presence and importance of everyone in the meeting.

               3. Why is clarifying the agenda of the meeting at the opening important?

                  Sample answer:
It gives the meeting direction and enables everyone to work towards the same goals.
Clear objectives, ensures efficient time allotment for various topics, so the meeting
                  will be more successful.

               1. The meeting will officially start in 5 Minutes. Most of your attendees are
tired and you’re not sure if they are ready to listen. You are going to set the
                  agenda.

                  Sample answer:
Good afternoon and welcome everyone! Thank you for accepting our invitation. I
know most of you are already tired coming from work. I really appreciate lending
valuable time to attend this meeting. I assure you that our agenda is worthy of your
attention because this will greatly improve everyone’s performance. The refreshments
are ready to be served to replenish your strength, so you could listen and offer sugges-
tions. Please give your attention to this chart, which shows an outline of the topics we
will be covering. Let us begin.

               2. You are holding a weekly meeting to evaluate the team’s performance. You
need to mention the time allotment for the topics you need to cover.

                  Sample answer:
Good afternoon! I would like to welcome everyone for our weekly meeting. I can see
that no one is late so let’s start. Ben would take note of the Minutes of our meeting. For
today’s agenda, we would be discussing the previous week’s accomplishments first
before planning on how to improve performance for the coming week. The meeting
would be good for an hour, so we will have a maximum of 15 Minutes for each topic.
You will have five Minutes each to present your topic and the remaining ten for sug-
gestions and clarifications. Does everyone agree?
