application. In the latter, you will be required to open an account or registered on the
portal with a valid email and secure password. In both cases, you will be expected to send
your document in Microsoft word (.doc or .docx) file format, Portable Document File
(PDF) format (which is a more stable and rigid format), or a JPEG (mostly documents in
picture format) file. You should know how to hold electronic copies of your documents in
the preferable formats on your devices. Good enough, you can convert your documents
from one form to another using relevant smartphone applications or computer software
on the internet. Just type what you want to do on ‘Google’, you will have more than
enough answers and means of doing it.
Storage Devices: Your smartphones, external had disk, computer disk, iPad etc. have
electronic storage space to store your document. Create a folder on your device, and
name it appropriately, e.g. ‘Your name’ documents folder. Scan your documents and save
them inside this folder on your devices for easy identification and location. Ensure you
save copies of the folder on other storage devices like CD-ROMs, Flash drives or external
hard disk. This serves as your back up in case of theft, loss of function or even loss of the
device, and electronic virus or malware attack leading to corrupted files.
A better and more secure option is to use electronic cloud storage services like Dropbox,
Google drive etc. All you need is register an account with these service providers with
your email and secure password, then upload your documents to the cloud. You can pick
it up from there whenever you need it.
The size of your documents also matters. Heavy documents of several megabytes have
difficulty attaching to emails. PDF and JPEG files are always heavier than their
corresponding .doc or .docx files. However, you can get smartphone applications or
computer software on the internet to reduce the size of electronic copies of your
document.
