TAKING ATTENDANCE FOR GRADUATING SENIORS AT THE END OF THE SCHOOL YEAR
Graduating seniors must either be present for 4 documented hours (120 minutes) of instruction on the final two early-
release school days of the school year OR must be counted absent for all classes missed. Students who graduate the
evening before the last school day, will be withdrawn as of the last day of school. All other graduates will be withdrawn
the first business day after graduation.
OFFICIAL ATTENDANCE TAKEN BY CLASSROOM TEACHER
Students who are on campus and in their classrooms at the time attendance is taken must have their official attendance
conducted and completed by the classroom teacher. Attendance must not be taken by students, classroom aides,
clerks, or a student “sign-in” sheet.
Teachers record daily attendance in Skyward during their “snapshot” time. This information is used in the PEIMS
Reporting System and is considered the “official attendance record.” If teachers are requesting a correction to their
official attendance, the request should be made in writing using the “Attendance Correction Form” and submitted to the

attendance office as soon as the error is discovered. Attendance Correction Forms affecting 2 period are set aside for
upload into the P-Drive.
TAKING ATTENDANCE WHEN THE CLASSROOM TEACHER IS ABSENT
When a substitute teacher is present during the official attendance-taking time/period, the substitute will record the
attendance on a class roster. The substitute will mark all students as present “P” or absent “A”, then sign and date the
roster and return it to the attendance office. The roster covering the official attendance taking time will be uploaded
into the P-Drive in the “Substitute Folder”. Absences will be entered into Skyward by the attendance or data clerk.
Teacher rosters may be printed using the following path: WS\OF\CS\RE\CR/CR or Office, Current Scheduling, Reports,
Class Roster Report. Create a template titled: “Substitute Rosters”. Make class selections “by individual class”. You can
click on the “Classes” button and check the ones you need. You may want to use the filter to narrow down your choices.
Decide whether you want to print by term (cycle), semester, or year by choosing the appropriate one from the drop
down menu. Leave the Class Ranges as they are. In the “ID Number” box be sure to check “Other ID”.
MONITORING FOR UNRECORDED ATTENDANCE
Attendance supervisors will check to ensure that teachers take attendance regularly and accurately.
The Skyward report: Unrecorded Class Attendance may be used for this purpose. WS\OF\AT\RE\AR\DR\UC. (See
Appendix – Unrecorded Class Attendance Template). This report can be run daily at the elementary level to determine
which teachers have not recorded attendance after the “snapshot” 10:00 AM attendance lock at 10:15 AM. At the
secondary level, it may be run after each period, after the funding period, or at the end of the day to see which teachers
have not submitted attendance.
