NONABSENCE CODING PERMITTED BY THE STATE
Non-absences do NOT count against students in determining Perfect Attendance or in calculating violation of the 90%
rule. Non-absences DO generate ADA funding. Documentation for all of these absences that affect the funding period
should be scanned and stored in the P-Drive for audit purposes and maintained in the 5-year attendance box. According
to Education Code 25.086 and 25.087 as well as School Board Policy FEA legal, the following circumstances are
considered non-absences (by law):
1. N-DR (Health Care Appointment)
Temporary absence resulting from an appointment with a health-care professional for the student OR his/her child. The
student must have attended school part of the day (either begins the school day before going to the appointment or
returns to school after attending the appointment). A note from a certified health-professional is required for
documentation. A campus may choose to verify the validity of a health-care note by calling the number on the note. The
campus may ask the health-care office to verify that the named student was present in the health care office on the date
of the note. These notes include appointments with health-care practitioners to receive recognized services for persons
with autism spectrum disorder (including applied behavioral analysis, speech therapy, and occupational therapy.)
All health-care notes that create an N-DR in the funding period, should be scanned and entered into the campus P-Drive.
The notes should be organized by date, scanned, the scan file labeled, and saved into the appropriate cycle folder. This
action should be completed at least once per cycle. The hard copies of the notes should be placed in the 5-year
attendance box. Health-care notes that DO NOT affect the funding period should be kept/filed with parent notes in the
2-year attendance box.
