INCARCERATED STUDENTS, E-PB
Students who are temporarily incarcerated, either in Juvenile Detention or in city/county jail, create involuntary
absences from school which must be excused.
a. Juvenile Detention / Letot:
Students (age 16 or younger) who are held in the Juvenile Detention Facility (Detention) are generally held 24 –
72 hours and should be excused for that time period. The School Resource Officer (SRO) can check to see if
students are in detention and how long they will likely be held. If students will be held for 10 days or more, they
should be withdrawn. When a T-Rex request is received from the charter school providing educational services
at the facility, the student may be withdrawn at that time using the enrollment date given. Absences prior to
enrollment should be excused.
Letot is a locked facility program designed for run-away students. The facility typically keeps students 2 to 4
weeks. Students in the Letot program should be withdrawn when a records request is received, with an 80
withdrawal code.
When the records request is received, these withdrawals will use code “80” because the students are being
served by another Texas public school. The withdrawals may be back-dated to match the date of enrollment at
the locked facility.
b. City or County Jail for students 17 and over:
Students who are incarcerated as adults (age 17 and older) in the city or county jail, do not receive any
educational services. Those students held for 24 – 72 hours should remain enrolled and be “excused” with an
“E-PB” code. If it can be determined that students will be incarcerated more than three days, they should be
withdrawn with a code of “98” and an appropriate comment.
Students are rarely held in a city jail for more than 24 hours. Your SRO may be able to check a student’s status if
the student is in the city jail matching city represented by your SRO. A student’s placement in the county jail,
Lew Sterrett, may be checked on the Internet through the Lew Sterrett Jail Lookup. The page should be printed
and used for documentation for the withdrawal. The “98” code is a dropout code. When a student returns, he
can be reenrolled. If he reenrolls before the end of the school year or the start of the next school year “school
start window,” he will not count as a drop out.
NOTE: Students enrolled in the Juvenile Justice Alternative Education Center (JJAEP) are not incarcerated. They are
enrolled in another Texas public school and should be withdrawn with a code of “80” when the records request is
received. Please do not abbreviate Juvenile Detention as “JJ”.
AUDITIONS AND PROFESSIONAL PERFORMANCES
Requests for an excused absence due to auditions or professional performances necessitate district permission prior to
the absence; written requests are forwarded to the Executive Director of Student Services.
