PRE-CODING FIELD TRIPS OR TESTING – HIGH SCHOOL (TESTING—MIDDLE SCHOOL):

High school attendance clerks may use the process described above for middle school to pre-code field trips. The other
option is to use “Mass Add for a Single Day”, follow the path WS\OF\AT\PS\UT\MA. Office tab, Attendance Tab, find the
blue “Setup” on the right and click it, choose “utilities” from the drop down, choose “MA” the report entitled “Mass Add
for a Single Day.” Title the template “Field Trip Add”. Under “Student Selection” click “by individual.” Under “Criteria
Options” choose “specific date” and enter the date. No changes under “course options.” MS choose period “01” to
“07” and high school periods “01” to “04” or “05” to “08” depending on if it is “A Day” or “B Day.” For “attendance type”
choose “P” for present and “absence reason” choose “FT” for “field trip”. Set parent notified to “no”. DO NOT CLICK
“overwrite existing attendance for student”. Enter a comment to be something like “attended choir field trip (or
something appropriate.)” DO NOT check “overwrite existing comment for student”. Lastly, click on the blue link that
says “individual” under Student selection, where it says “student,” type in the student’s ID number and hit add.
Continue “adding” individual students until all are added. OR use a processing list created in Excel to add the students.
Hit “OK.” Save the template. Use the “Doublecheck Mass ADD Checklist” and ensure that the template is correct. “Save
and Run” it.
If you are using the template for testing for a grade level, you will use the “Ranges” tab and enter the grade level range,
for example: 07 to 07. BE SURE, HOWEVER, TO CHOOSE “CY Member” as “yes” NOT “both” and “Status” as “Active” not
“Both”. No other fields need to be altered in the “Ranges” section. To exclude MPA and PAC students, be sure to use
the “calendar” filter by putting your campus number in both the low and high range. The periods and codes will work as
described above. Save the template. Use the “Doublecheck Mass ADD Checklist” and ensure that the template is
correct. Choose “Save and Run”.
Create a new template each time you pre-code. Run a Day Summary before creating a template. Use your double check
list to check the template before clicking “Save and Run.”
RELEASE FOR OBLIGATORY RELIGIOUS WORSHIP
Some students may belong to Faiths that make attendance mandatory at specific religious worship functions. Under
advice from legal counsel, the district will accommodate requests to release a student to attend religiously mandated
worship, which must occur at a specific place and time away from school.
The following guidelines are intended to help make these decisions. These guidelines are not for use in events that are
deemed religious holy days.
• Written documentation from the student’s parent/guardian that specifies a requirement in which the student
must attend religious worship at a place and time which conflicts with the student’s attendance, is required.
• After providing the necessary documentation to school officials, the student shall be given an excused absence.
• The student shall be given reasonable time to make up schoolwork missed on the day(s) in question.
These absences do count in 90% compliance.
Students who plan to attend a religious “mission trip” should discuss with the campus administrator, BEFORE
ATTENDING, whether all or part of the absences will be excused. It is not required that “mission trips” or “religious
retreats” be excused.
