ENTERING ATTENDANCE IN SKYWARD
ABSENCES
Initial attendance is entered by teachers. If office personnel must add attendance or correct attendance, they do so by
going to WS\ST\TB\AT\AT. Student attendance can also be entered at WS\ST\TB\AT\AT\AE BD (by date) and BS (by
student) (See Appendix – Attendance Entry from Student Profile)
Once the “entry by Student” screen comes up, you may either enter the “Period to fill” with the periods and then use
the pull down “absence types” and the pull down “absence reasons” to select the appropriate codes OR you may enter
the three letter code into each of the periods on the attendance line. The funding period is highlighted in yellow. IF an
absence covers more than one day or a day different than today (the default date), you may use the “start date” and the
“end date” to enter the date range or the date you want to add or edit.
ATTENDANCE TYPE CODES
A Initial absences (unknown absences)
E Excused absences - Replaces an A when a parent or doctor’s note is received to cover an absence.
Non-absence - Replaces an A if an absence meets one of the exceptions noted. These absences are
N especially important because the district receives funding for the student as if the student were present.
There must be documentation to support any use of a non-absence.
Present - A student was not present in the assigned classroom BUT was present in the building under the
supervision of a school official. P codes do NOT count against students in determining perfect attendance or
P
in calculating violation of the 90% rule. P codes generate ADA funding and require campus maintenance of
appropriate documentation.
Tardy - Tardies occur after the start of the school day or the class period and during the “grace period”
T allowed for late arrivals. (See “tardies” in this manual.)
Unexcused - May be entered when it is KNOWN that a student’s absence will not be excused – i.e. the
student is brought in by the police when he should be in school – or seen off campus during the period (U-TR
U
or unexcused – truant), or when an administrator has stated beforehand that he will not excuse a student’s
absence in a discretionary situation.
‘A’S TO ‘U’S
GISD policy allows three days for parents to provide a note excusing an absence. Unknown absences, A’s are
automatically converted to U’s in Skyward on the fourth day following the absence (overnight between the third and
fourth day).
NOTE: If an absence is added more than 2 days after the date it occurs, it will not automatically be rolled from an A to a
U and should be entered as either an E or a U depending on the circumstances.
