STUDENT RECORD KEEPING, GRADING POLICIES AND STANDARDS
Accuracy & Proofreading
The accuracy of official records and reports is critical. Please be especially careful when writing
report card comments, daily attendance records, grade books, class and grade level newsletters,
cumulative folder information, etc. Use black or dark blue ink for all formal, official record-
keeping and reports. Every teacher should have at least two other individuals who will serve as
his/her proofreader. Spelling, grammar, punctuation, capitalization, word usage, and legibility
should be modeled in our own writing.
Cumulative Folders
The school records clerk is required to enter certain information each year in the cumulative
folders: date of entry, testing results, withdrawal, etc. Be sure to keep this data up-to-date by
recording it as soon as possible. Cumulative folders are to be kept locked up However, teachers
may check out the cumulative folders to review them. As with all confidential student data, folders
should never leave the campus. Just be sure they are kept in a secure location. All information in
cumulative folders is highly confidential. All other documents should be kept in a separate
classroom folder.
At no time should Special Education information be placed in a cumulative folder. All special
education paperwork should be kept in special educaton folders and kept locked in the Special
Education File cabinet in the locked area. Teacher copies of IEPs for Sped students must also be
kept separately from cumulative folders and secured as part of the teacher’s lesson plan file.
All records must be checked out from the school records clerk. Do not go into the files and take
one without checking it out! We have a responsibility to keep these files locked at all times. Do
not leave the files unattended in your room! When returning files, be sure to have the contents in
the same order as when you removed them.
Grading and Reporting
All teachers must be familiar with this policy and follow it precisely.
Report cards will be issued each nine-week period. Grades must accurately reflect student
performance. General guidelines state that each teacher:
• will develop a clearly defined grading procedure;
• will distribute a copy of the grading scale to students and parents at the beginning of each
school year or semester and to all new students and parents thereafter;
• will use grading procedures that include late work and make-up work policies that promote
student responsibility without denying students reasonable opportunities to exhibit mastery
