5. To enter a patient’s insurance information, click Add Insurance.
a. Search for the Insurance carrier name, select, and hit Next.
b. In the Policy Information window, enter the Member ID (“Subscriber ID”) and
Group number that will be found on the patient’s insurance card.
c. Ask the patient if they are the subscriber (main policyholder) for the plan. If they
are, keep the Insured Party as Self. If they are not, then select the appropriate
party from the dropdown options; the subscriber’s information will be entered in
the next window.
d. Ask the patient for the Provider Services or Provider Claims and Benefits
phone number listed on the back of their card and type in the Additional Info
box. This is especially helpful for CareFirst plans!
e. If the patient is not the subscriber, then in the Insured Party window you must
enter the subscriber’s Name, Gender, and Date of Birth. You can autofill their
Address if it is the same as the patient’s by clicking Copy Address From Patient.
f. For the Guarantor Information, again complete the required fields if the patient
is not the subscriber for the plan. If the patient IS the subscriber, then the
Guarantor information will autofill with their information.
i. Usually, only patients who are minors will have a Guarantor other than
themselves.
6. Always ask the patient if they have any additional (secondary) insurance! If so,
repeat the previous steps to add the secondary and/or tertiary policy information.
7. After all insurance information has been collected, click Add Case to enter information
